This role will be key in supporting the operation of the Centre through the provision of an effective and efficient administrative and finance service. You will support the management team by assisting in the monitoring and provision of statistics and information, maintaining records and carrying out receptionist and telephone duties.
- To work with colleagues to learn how to ensure performance indicators, targets and standards for the service are met including delivery of monitoring information to deadlines.
- Coordinating registers, including daily client and visitor lists.
- Supporting with the organisation of meetings and events for the service arranging attendance and refreshments as required.
- Learn how to take minute meetings and assist in the preparation of reports and correspondence as required.
- Learn how to undertake administrative and financial processes in line with the Centre and Council guidelines. This includes cash handling and record keeping for petty cash and collection of lunch monies, procurement, invoicing and receipting processes.
- administering of the transport register for the Service in partnership with Camden Transport Services.
- Assist with the management all office records and filing systems (both electronic and manual) and ensure that these are maintained and kept up to date
- Assist with ensuring the service has the necessary office equipment and supplies necessary to carry out its function and that equipment is well maintained.
- Learn how to place and receive the delivery of goods as required and responsibility for incoming and outgoing post.
- Learn how to support with coordinating and managing repairs and contractors, ensuring health and safety information is shared with the management team.
- be the first point of contact for people contacting the service, responding appropriately in line with corporate customer care standards, ensuring messages are forwarded to relevant parties.
- Learn how to responding appropriately to those visiting the Centre, including families and carers.
Duties
- Be an integral part of the staff team and be prepared to work flexibly in assisting colleagues and able to meet pressurised deadlines
- Use your initiative in order to manage your workload effectively
- Work flexibly within the service and adapt to change in demand
- The post is centre based, in an open plan office environment in which ‘hot-desking’ and agile working practices are implemented. Flexibility to work from home or other locations as required or in agreement with the Manager.
- The post holder will occasionally be expected to travel to different sites to attend meetings.
People Management Responsibilities:
- This role does not have any direct line management responsibility.
The post holder will be expected to develop good working relationships with social care and Council colleagues plus external a range of external organisations, including health and voluntary sector partners.
Essential criteria
You will need to be able to demonstrate the following:
- Be a Camden resident, former Camden secondary school student or Camden care-leaver
- Be at Level 1 standard in English and maths (those without certificates can be assessed to check you are at the appropriate standard) and a commitment to work towards a Level 2 as a part of the apprenticeship.
- Not have a Business Administration qualification at level 3 or higher
- Not be an overseas national subject to employment or learning restrictions and/or a time or a limit on my stay (other than a refugee or asylum seeker)
- Be ordinarily resident in the England, EU or EAA for at least the previous three years before the start of the programme.
- Not be attending any other school, Further Education or Higher Education institution.
- Good communication skills - both verbal and written
- Good organisational skills with the ability to prioritise and work on own initiative
- Experience of working with figures and ability to undertake financial tasks
- Ability to use IT system
- Good customer care skills and be able to deal sensitively and discretely with confidential matters
- Must undertake an enhanced DBS check
